Privacy Policy

Robins Residents and Ratepayers Association (RRRA)

1. Introduction
The Robins Residents and Ratepayers Association (“RRRA”, “we”, “our”, or “us”) is committed to protecting the privacy and personal information of all residents and visitors to our website (rrra.co.za), community groups, and associated platforms. This Privacy Policy explains how we collect, use, store, and protect personal information in accordance with the Protection of Personal Information Act, 4 of 2013 (POPIA) and other applicable South African laws.

2. Information We Collect
We collect and process personal information necessary for the administration, communication, and operation of the Association. This may include:
• Full name, residential address, and contact details (email, phone number, WhatsApp number).
• CCTV footage from community surveillance systems.
• Information submitted via our website forms, RRRA Google Forms, or WhatsApp groups.
• Payment or debit order details (where debit orders are voluntarily completed).
• Communication history with the RRRA and its authorised representatives.

3. Purpose of Collection
Personal information is collected and used for the following purposes:
• To manage membership and communicate community updates.
• To maintain accurate records of residents for operational and safety purposes.
• To process debit orders for voluntary contributions.
• To facilitate neighbourhood safety initiatives, including CCTV monitoring.
• To manage official RRRA WhatsApp groups and verify participant eligibility.
• To liaise with relevant authorities in the case of emergencies or criminal activity.

4. CCTV Surveillance
The RRRA operates a community surveillance network to enhance neighbourhood safety. CCTV footage is stored securely for a period of five (5) days, after which it is automatically overwritten unless required for an active investigation.
Footage may only be accessed by authorised RRRA representatives or security providers for system maintenance, monitoring, or upon lawful request from the South African Police Service (SAPS) in connection with a crime.

5. WhatsApp Groups
RRRA-managed WhatsApp groups are used for official communication, security alerts, and community coordination. Participation in these groups is voluntary.
By joining an RRRA WhatsApp group, participants consent to their contact number and display name being visible to other group members. Members are expected to use these groups responsibly and in accordance with the group’s community rules.

6. Data Retention
• Resident and membership details are retained indefinitely to maintain community records and continuity.
• CCTV footage is stored for five (5) days before automatic deletion unless legally required for longer.
• Debit order and contribution records are retained as required for accounting and audit purposes.

7. Sharing of Information
RRRA does not sell, rent, or trade personal information. Data is only shared with:
• Authorised security providers for monitoring and response purposes.
• Law enforcement (e.g., SAPS) where necessary to assist with investigations.
• Service providers who manage our website, forms, or data storage systems under strict confidentiality agreements.

8. Security of Personal Information
RRRA implements reasonable technical and organisational measures to protect personal information against loss, unauthorised access, disclosure, alteration, or destruction.
While every effort is made to maintain secure systems, residents are encouraged to remain vigilant when sharing personal details via electronic communication platforms.

9. Access and Correction
Residents may request access to their personal information held by RRRA or ask for corrections to inaccurate details. Requests can be submitted via exco@rrra.co.za.

10. Your Rights
Under POPIA, you have the right to:
• Access the personal information held about you.
• Request correction or deletion of inaccurate or outdated data.
• Object to the processing of your personal information.
• Lodge a complaint with the Information Regulator of South Africa at complaints.IR@justice.gov.za.
